Question 1

What can our team record and track in a maintenance request?

Accepted Answer

Create a request with a title and description, choose a work category, and optionally add equipment, a location, and a linked inventory part. Track it as open, in progress, or completed; assign it to an eligible manager and set a due date. The request detail keeps its information, work log and status history, and any uploaded attachments.

Question 2

What does parts inventory keep track of?

Accepted Answer

Each part record has a name, quantity on hand, a low-stock threshold, and an optional storage location. Teams can adjust quantities and optionally record a reason, then review the quantity history. ShiftSpindle shows low-stock signals and lets a saved part be linked to a maintenance request; recording part usage on that request updates the inventory quantity and history.

Question 3

What does AI triage tell us about a maintenance request?

Accepted Answer

A team member can run AI triage on a saved request. ShiftSpindle saves an assessment of none, possible, or likely potential downtime, with a rationale and linked-part evidence when available, plus a routine follow-up recommendation. This is an assessment of potential downtime, not confirmation that equipment will stop or fail.

Question 4

How do saved follow-up recommendations work?

Accepted Answer

A saved recommendation stays linked to the maintenance request it came from. In the follow-up queue, you can assign it to an eligible manager, set or clear its due date, and mark it complete or reopen it later.

Question 5

What is included in the in-app Operations overview?

Accepted Answer

The shift-start Operations overview shows counts for open requests, low-stock parts, and saved possible or likely potential-downtime assessments; overdue follow-ups; maintenance due today and overdue; and open or in-progress request workload by assignee, including unassigned requests. These are saved in-app records and assessments.

Question 6

What is in the scheduled daily operations digest?

Accepted Answer

The outbound digest is scheduled for 08:00 UTC. It summarizes open and in-progress maintenance requests, low-stock parts, saved follow-up recommendations, and qualifying saved possible or likely potential-downtime assessments; those risks are not confirmed downtime. Workspace settings separately choose the daily-summary audience. The downtime-alert recipient list controls immediate alerts and which daily-summary recipients see downtime details; the risk threshold filters which assessments qualify. Other daily-summary recipients get the regular digest without those details.

Question 7

Does ShiftSpindle monitor incoming shift-handoff emails?

Accepted Answer

No. Inbound shift-handoff email monitoring is unavailable, and ShiftSpindle is not reading or monitoring shift-handoff emails. The scheduled daily operations digest is outbound email; it does not read incoming handoff messages.
